The practical answer

Agree what makes an enquiry relevant, record that information consistently and review it with the team handling follow-up. A form submission alone is not evidence of a good customer match.

What to take away

  • Write a shared qualification definition.
  • Separate lead fit from follow-up failure.
  • Review the ad, page and response together.

Start with the service and the next decision

An enquiry is useful when the business can understand the request and decide what to do next. For an illustrative local service team, relevant details might include the required service, area, timing and preferred contact route. Different businesses need different qualification questions.

Do not collect details simply because they might be interesting later. Ask only what helps the current decision, explain the purpose and keep unnecessary sensitive information out of the form.

Define stages in plain language

Use stages that staff interpret consistently: new enquiry, needs clarification, relevant conversation, proposal sent and closed. Write a short definition for each. A relevant conversation should describe an observed fit, not just an optimistic label applied to every contact.

Record why an enquiry was unsuitable using a small list of practical reasons. Examples could be an unavailable service or an area the business does not cover. Keep the categories respectful and tied to the actual service.

Connect the message to the landing experience

Compare what the ad promises with the page and the first response. If people expect a free consultation while staff offer a different service, the problem may be message alignment rather than traffic volume. Test the whole journey with the same offer.

Make the price context, location or prerequisites visible when those facts help someone decide whether to enquire. The aim is useful understanding, not adding friction for its own sake.

Review quality with the people doing the work

Bring a small, representative set of enquiry records to a review with the response team. Check whether the information is complete, whether follow-up happened and what prevented the next step. Separate an unsuitable lead from a suitable lead that received no response.

Use the review to choose one change: adjust the page, clarify the offer, improve response ownership or revise the questions. Record the decision and review window. Avoid scaling spend just because the dashboard shows more forms.

Turn the idea into work

A practical exercise.

Create a scorecard the marketing and response teams can both use.

  1. List the minimum useful enquiry fields.
  2. Define each pipeline stage.
  3. Choose a short list of service-related outcome reasons.
  4. Review a sanitized sample and agree one improvement.
